About the Role
You become the backbone of support for two intelligent and collaborative business managers as their Executive Assistant. In this facilitative role, you'll enhance their efficiency, contributing to their projects while thriving in a friendly and stable work environment. You will be supporting all aspects of client engagements; thus, the role requires you to be capable of planning, executing, and finalizing projects according to deadlines. This includes coordinating the efforts of the project team, clients, and candidates to deliver assignments according to plan. You take ownership of processes with the ability to direct all the elements that come together in a successful mandate, maintaining discreet handling of all interactions with senior-level clients, candidates, and partners. By working closely with the consultants in a business-focused role, you will quickly become a core team member.
 
About the Role | Your Tasks & Responsibilities

  • Compose, prepare, and edit all assignment-related documents, i.e., confirmation letters, position and candidate specifications, candidate reports, target lists, closeout letters, reference reports, and PowerPoint presentations.
  • Serve as client liaison, team up with consultants in their activities, and proactively assist with various client needs.
  • Provide a bridge for smooth interaction within the project team (peers, consultants, research), establish and build positive relationships, and regularly interface with high-level executives involved in confidential projects.
  • Support Leadership Advisory in composing reports.
  • Maintain the global database, including all client and internal documents, notes, emails, and appointments.
  • Arrange client and business development meetings and assignment-related interviews, and coordinate travel and agendas for consultants and external parties.
  • Work with consultants and research to ensure all deadlines are met, and client and candidate needs are served.
  • Produce high-quality client deliverables, ensuring completion within designated timeframes.
  • Prioritize conflicting needs, handle matters promptly, and follow through on projects to successful completion.
  • You work across multiple disciplines and occasionally delve into unfamiliar territory.
  • You will assist with client invoicing and expense reports and support other EAs with work overflow, as capacity allows.

 
About You.
You are dedicated, efficient, and highly organized - a self-starter who can quickly adapt to and execute tasks with little supervision and be flexible regarding responsibilities. Unfazed by last-minute changes to plans, you are at ease dealing with the unexpected. You are a go-getter who can cope with tight schedules and is fun to work with.

  • A commercial degree is required. Further education, such as a paralegal certificate, CAS Digital Office Management, or «Direktionsassistenz,» is a plus.
  • 5+ years of experience supporting senior leaders, ideally in consulting, legal services, or hotel/hospitality. Client management experience will be advantageous.
  • You have excellent written and verbal communication skills in German and English.
  • You possess outstanding execution skills, driving tasks to completion with efficiency, and attention to detail.
  • You are an agile thinker, able to analyze situations accurately and decide the proper course of action.
  • You display confidence and competence in engaging with the C-suite and have advanced skills in creating high-quality materials tailored for executive audiences.
  • You combine intellectual agility and curiosity to stay informed about business and industry needs, and you can grasp the fundamentals quickly.
  • You have a very high energy level and must enjoy working on multiple assignments simultaneously.
  • You are a natural collaborator who contributes to collective resources and is invested in the team's success.
  • You possess social competence with a strong sense of gravitas - acting as an ambassador for the company.
  • You prioritize client needs while consistently maintaining the highest standards of quality and excellence.
  • You maintain the confidentiality of client and candidate information and protect it as appropriate.
  • Proficiency in the MS Office suite, Teams and database management; excellent calendar management skills (Outlook).
