## Job Description ##
*
**Event Pavilion Coordination:**
* Provide comprehensive administrative support for the construction and setup of the event pavilion.
* Coordinate with service providers on contracts, scheduling, and payments, ensuring all services are delivered according to plan.
*
**Event Management Support:**
* Assist the selection committee in evaluating event proposals and help with scheduling and coordinating the selected events.
* Ensure all logistical arrangements are in place for the smooth running of the events.
*
**Stakeholder Communication:**
* Collaborate with the Communications Assistant to inform event organizers about their selection status.
* Provide ongoing logistical support to event organizers in the lead-up to and during the event.
*
**Administrative Oversight:**
* Monitor the event pavilion inbox and respond to inquiries based on established guidelines.
* Support the promotion of pavilion events by updating program templates and posting event details on the website.
*
**Delegation Coordination:**
* Assist in the administrative process of identifying and coordinating members of the delegation attending the event.
*
**General Administrative Duties:**
* Perform additional administrative tasks as required to support the successful execution of the event and its associated activities.
## The Successful Applicant ##
*
**Educational Background:**
* A degree or diploma in administration, event management, communications, or a related field is preferred.
*
**Experience:**
* Proven experience in providing administrative support, particularly in event management or coordination roles.
* Experience working with multiple stakeholders, including suppliers and committees, is highly desirable.
* Familiarity with managing contracts, scheduling services, and handling payments is an advantage.
*
**Skills and Competencies:**
* Strong organizational skills with the ability to manage multiple tasks and deadlines effectively.
* Excellent written and verbal communication skills, with a professional and courteous approach to stakeholder management.
* Proactive problem-solving abilities and the capability to provide timely solutions in a fast-paced environment.
* An understanding of the context and importance of large-scale international events would be beneficial but is not mandatory.
## What's on Offer ##
