We are looking for a Administrative Assistant for GC Strategy Ops CCBP(m/f/d) (S) - Metropolitan Area Basel

Main Responsibilities





  • Provide high-level administrative and operational support to assigned leaders and their teams, including scheduling on-site/off-site meetings and events




  • Manage complex calendars in line with time management best practices; coordinate domestic and international travel arrangements as well as conference and video calls




  • Support departmental budget planning and tracking: monitor expenses, investigate variances, create purchase orders, and process expense reports




  • Maintain internal platforms and folders (e.g., intranet and Google Drive); organise and file documents and information




  • Assist with the preparation, editing, and formatting of executive-level presentations




  • Serve as the go-to contact for general administrative and operational questions




  • Support onboarding and training of new team members regarding administrative tools, systems, and processes; help organise meetings and assist with projects as needed




  • Collaborate closely with other administrative professionals and teams across functions; provide back-up support with a flexible and proactive mindset, especially during changes or peak periods



Must-Haves





  • At least 5 years of experience in an administrative assistant role (*****)




  • Minimum of 2 years supporting senior or executive-level leaders (*****)




  • Strong proficiency in Google Workspace (Docs, Sheets, Slides, Forms, Gmail, Calendar, Drive, Meet, etc.)




  • Financial literacy and experience with budget monitoring and tracking




  • Excellent organisational skills; ability to manage multiple priorities independently and with minimal guidance (*****)




  • Proven discretion and ability to handle confidential matters professionally




  • Proactive self-starter with strong judgment and decision-making ability




  • Fast learner with a hands-on approach, able to adapt quickly to dynamic needs




  • Clear, concise, and professional verbal and written communication skills




  • Willingness to work on-site in Basel




  • Fluent in English (*****)
